EXHIBITORS INFORMATION
Vetting 2010
All new exhibitors will be strictly vetted in line with our current system. Prospective exhibitors should send photographs of their work with applications and, where possible, an example of the products to be sold. Visits to Workshops may be necessary. For approval to sell items from abroad, they must all be listed on the application form in addition to photographs being provided. Exhibitors with items not listed & not approved will be asked to remove them from their stand. In order to reflect Great Britain’s multicultural society, we are continuing to allow a limited selection of items from abroad in order to satisfy the requests from visitors to our marquees for items from their homelands. Exhibitors will be able to sell both Crafts & Gifts at the discretion of H of E. Where possible in 2010 we are aiming to site stands selling edibles in a group setting.
Marquee Siting
All structures are positioned in prime sites. As land charges on prime areas are graded, some command a higher exhibition frontage premium than others. It is advantageous to pay a moderate amount more to have the potential of more sales and a higher number of customers visiting our sites.
Application Procedure
2010 sees us simplifying our system. All bookings must be made on our Events application form together with your cheque, for the registration fee of £50.00 inc V.A.T. plus a cheque for £300.00 + V.A.T. as a rolling deposit.
Applications will not be processed without payment. Where applications are not accepted by this Organisation, for whatever reason, the registration fee and deposit will be returned to the applicant in full. There are a limited number of spaces available per craft\gift category, which will be allocated on a first come, first served basis. However, consideration will be given to the size of marquee and number of Exhibitors at the Event when deciding on these limits. Exhibitors adding extra products to their stand to those initially approved and listed on their Application Form will be asked to remove such items from their stand.
Payment System
On receipt of the Application Form invoices will be sent out for payment 6 weeks prior to each Event.
Late payments are automatically calculated as such:-
Any payment’s not received by this date will include a 10% premium.

Type 1 These stands sell from a straight frontage.
Type 2 Limited number available for entrance and middle end stands, selling from front and a 6ft end.
There is a 20% + V.A.T. surcharge for Type 2 stalls. Minimum size 3m.
Cancellation
Deposits are non-refundable. Should the Applicant wish to withdraw his application, this must be done in writing 6 weeks prior to the Event. After this date the full stand fee will be charged and must be paid unless the space is reallocated, and paid for by an alternative Exhibitor.
Caravans
Must be booked directly with each Show.
ADDITIONAL INFORMATION
SETTING UP
All Exhibitors must be set up before 7 pm on the day before the start of an Event. For security purposes the marquee will be secured at this time and will be secured and closed at the end of each trading day during the Event. Please arrange early morning access on Show Days with the Organisers. To avoid vehicle gridlocks, some Events operate time-limit refundable entry charges. Such Events will be identified on set-up information sent out with tickets and passes.
OPENING TIMES
These will be announced on the information sheets sent to Exhibitors with their tickets and passes. Exhibitors are responsible for the security of their stands.
TABLES AND CHAIRS
These are not provided - please bring your own
TICKETS AND PASSES
These will be sent out in advance once full payment has been received and cleared through the bank. Please allow adequate time for the tickets and passes to be posted out to you as, once our Events commence, the office will not be open every day. If you want your tickets and passes sent to a different address to the one on your Application form, please ensure that you give our office adequate notice.
PARKING
All Exhibitors must park within the designated area indicated by our stewards. Anyone not removing vehicles when instructed will have all shows cancelled with no refund.
SMOKING
There is no smoking within our marquees. Please observe current no smoking legislation within the Uk.
INSURANCE
Each Exhibitor shall assume complete responsibility for the insurance of their property and make arrangements to guard against it’s loss or damage, whatsoever its cause. Exhibitors must have Public Liability and Product Liability insurance. Exhibitors must forward a copy of their Public Liability insurance policy to the Organisers. Failure to do so will result in the Exhibitor being unable to attend the Event.
EXHIBITION STAND & SIZE
Heart of England stands are 1.83m deep(6ft) and space is sold on a metre frontage basis. Stand fittings, screening, tables & backdrops are not provided by Heart of England, you must bring these with you.
Please supply suitable free standing walls & backing. When booking please take stock & include space for getting in & out of your stand. Each Exhibitor is responsible for the presentation of their stand. Each stand must have a back drop and side cloths. Stands will be vetted, H of E reserve the right to remove Exhibitors who do not follow these guidelines. All FTC Stands are 2m deep.
HEALTH & SAFETY
Exhibitors must make sure that they adhere to all Health & Safety regulations in force in the marquee, with particular reference to keeping walkways and fire exits clear. All products to be sold or displayed in the marquee must comply with all relevant current Health & Safety regulations. This includes products listed below and any others not mentioned or specified here. Cosmetics and medicinal products must meet current EU regulations.
ELECTRICAL EqUIPMENT & MACHINERY
All equipment must meet the current British Standard Health & Safety regulations and must display a current valid safety check certificate.
TOYS
All toys sold must meet current CE regulations.
FOOD ITEMS
All Exhibitors selling edibles and consumable items must meet current Health & Safety criteria and regulations laid down by the Environmental Health Authority operating in the area in which the Event takes place.
ALCOHOL
Exhibitors having permission to sell alcohol within the marquee will be required to apply for a licence via the Event Show Office. Contact numbers for this can be obtained from H of E Office. Exhibitors with permission to sell “Corked” bottles of wine or liqueurs will be allowed to supply 5ml (approx) “Tasters’ to the public during marquee opening times. NO ALCOHOL can be consumed outside trading hours in the marquee owing to Health & Safety Legal requirements.
SECURITY
The marquees will be secured overnight. Exhibitors and visitors will not be allowed into the marquee once it is closed on set-up and Show Days.
TEA & COFFEE
An area in the marquee will be designated at each Event with a 13 amp socket and kettle to make hot drinks.
